Description: Position SummaryProvides support for the student academic advising program as well as support for the clinical and foundational sciences faculty members of the Division of Medical Education besides cross-coverage for other functional areas of the division as required.Job Responsibilities
  • Coordinates aspects of the student advising program that supports medical students in their residency application. Tasks include but are not limited to ensuring that students are assigned to advisers.
  • Maintains a list of advisers, schedules meetings for students/advisers, follows up to ensure completion of necessary forms by students, adds content to the learning management etc.
  • Collaborates with other divisions to organize bi-annual career seminar including communicating with and organizing details for international participants, communicating with stakeholders as necessary and creating the program newsletter.
  • Liaises with the staff in the Office for Curriculum Support for the weekly course schedules and other course or clerkship information required by the faculty members.
  • Responds to inquiries from faculty members, staff, students and external organizations.
  • Provides cross-coverage within the Division of Medical Education, including assisting with the proctoring of exams for the Medical Program as directed.
  • Provides specific support for regular/ad hoc events, activities and projects undertaken specifically by individual faculty members as directed including but not limited to preparing and distributing documents/posters, arranging for rooms and catering etc.
  • Assists with maintaining of electronic calendars and scheduling appointments for faculty members as required.
  • Provides logistical support for meetings such as electronic room reservations, compiling and distributing material and if required, recording and transcribing meeting notes.
  • Reconciles and provides word-processing, spreadsheet, and presentation services including preparing newsletters, correspondence from hand or type-written notes, editing and formatting documents.
  • Initiates shopping carts as directed related to the educational activities of the division ensuring compliance with WCM-Q financial policies and procedures.
  • Assists faculty members with the completion of travel and business expense reimbursement claim forms and follows up on any queries relating to these forms as appropriate.
  • Maintains the faculty area workroom, ensuring appropriate equipment, stationery supplies and materials are in place.
  • Provides information based on own knowledge or re-directs inquiry to other staff as appropriate.
  • Receives and distributes correspondence and coordinates with the mailroom for courier services as required.
  • Maintains the inventory of white coats for faculty members and coordinates the laundering with the Facilities Department as required.
  • Performs any other job-related duties as assigned.
