Description: The HR & Admin Manager will be responsible for the delivery of professional Human Resources and Admin services across the Group. This role will oversee the centralization, direction and coordination of human resources, admin functions and support services to ensure these are run smoothly and efficiently. 
Primary Responsibilities:HR
  • Assist the COO in organizational departmental planning in line with the overall business vision and long-term strategy.
  • Identify, design, and implement strategic HR projects.
  • Coordinate and ensure implementation and observance of HR policies, grading & salary scale, bonus plan, recruitment, training & development & appraisal.
  • Review and manage HR department budget.
  • Coordinate recruitment and lead induction, as appropriate.
  • Coordinate the implementation of all Training and Development programs.
  • Monitor and support day-to-day HR activities, with regular briefs and meetings to ensure appropriate advice and support is given.
  • Gather and analyze market data to benchmark employee compensation and benefits packages, and make recommendations as appropriate.
  • Assist the COO with the annual appraisal and salary review process.
  • Work closely with senior and line managers, providing them with expert guidance, coaching and support on the full range of HR activities (including policies and procedures, terms and conditions of employment, absence management, restructuring of services, performance management, personnel planning, redundancy, etc.), in order to ensure a consistent and fair approach to people management across the Company.
  • Prepare management reports (e.g. headcount, open positions, average salary per department, etc.) as and when required.
  • Develop an employee-oriented company culture to emphasize quality, continuous improvement, key employee retention, training and development, and high performance/motivation.
  • Provide advice and guidance to individual employees, ensuring that employee relations are up to standards and meet the requirements of company policies and procedures, and also best practices.
  • Manage investigations, disciplinary, and grievance matters.

Oversee:
  • Translation into Arabic of all HR documents for native Arabic-speaking employees. 
  • Accuracy and update of personnel data in hard and soft copy.
  • Compliancy with local Labour Laws of all employees’ governmental process, e.g. work permits and residency visas.
  • Arrangement of visitors or any other visas required for the business.

Admin
  • Review and manage annual Admin department budgets and office expenditures.
  • Regularly review the performance of contractors providing stationery, cleaning services, pest control, office maintenance, office equipment, etc., and recommend whether contracts should be renewed or not.
  • Establish and oversee a centralized travel arrangements system.

Oversee:
  • Office petty cash is balanced with receipts.
  • agreements and reports with accurate files & records are being kept. The work of “back office” personnel is monitored and supervised.
  • Office equipment (other than that managed by IT) is in good working order. 
  • Coordination of visitor hospitality and luncheons as and when required.
  • Office premises are being maintained in a state that projects a good image of the company and enables daily operations to run effectively.
